1 Export current inventory

In Shopify admin, go to Products → Inventory → Export. Choose the relevant location and variants, select All states, and export immediately before you prepare the update. Keep the original file. Shopify recommends All states because it includes On hand (current) for overwrite protection.

2 Match the supplier file

Open the fresh Shopify export and supplier CSV in StockPatch. Select the supplier SKU and quantity columns, then one Shopify location. StockPatch requires exact SKU matches, including case and spaces. It leaves duplicate, missing, and ambiguous matches out of the update.

The SKU is StockPatch’s matching key. In Shopify’s inventory import format, the required variant identifiers are the product handle, location, and option values; the SKU column itself is optional. Keep those original export fields intact.

3 Review the changes

Confirm the supplier number is the total already on hand at the selected location, not just the number available for sale or delivered today. Review the changed rows and the separate issue list. StockPatch preserves On hand (current) and fills On hand (new) only for changed, unambiguous rows. Download the update CSV after checking the preview.

Shopify allows whole numbers, including zero and negatives, in inventory CSVs. If a negative supplier count looks unexpected, investigate it before import.

4 Import in Shopify

Go to Products → Inventory → Import, add the downloaded CSV, upload it, review Shopify’s import summary, and start the import. Shopify’s inventory CSV limit is 15 MB. If stock changed after your export, Shopify can reject affected rows by comparing live counts with On hand (current). Export a fresh file and prepare those rows again.

Common checks

Can I use an “Available” inventory export?

StockPatch expects the All states export. Shopify’s Available export is a different format and lacks the same overwrite check.

Can I use a supplier’s available-to-sell count?

No. Shopify’s on-hand total includes Available, Committed, and Unavailable units. An available-only supplier figure is not an equivalent replacement total.

Does this add received units or sync automatically?

No. StockPatch prepares a one-time replacement total for one selected location. It does not add a delivery to an existing count, create products, connect to Shopify, or schedule updates.
